The workflow in five steps
1. Email arrival: The agent monitors a designated Microsoft 365 mailbox — typically a shared mailbox such as orders@company.com. As soon as a new email arrives, processing begins.
2. Customer identification: The agent matches the sender address against contacts and debtor master data in Business Central. If the sender is registered as a customer, the inquiry is automatically assigned.
3. Content analysis: The agent reads the email text and extracts items, quantities, delivery dates and special requests. It also understands unstructured phrasing such as 'Please send me 50 units of the item from the last order'.
4. Clarification: If essential information is missing, the agent autonomously sends a clarification email to the customer. The sales representative sees this communication in the Agent Task Pane and can intervene at any time.
5. Draft and approval: The agent creates a sales order draft in Business Central, checks inventory availability and applies the stored prices and discounts. The sales representative reviews, adjusts and approves.
What you need for setup
Business Central Online (cloud) — the agent is not available on-premises. Copilot billing must be activated in the Admin Centre. We recommend performing the initial setup in a sandbox environment.
You need a Microsoft 365 mailbox with 'Read and Manage' and 'Send As' permissions. In Business Central you need the AGENT-ADMIN permission (ID 9665) for setup and AGENT-DIAGNOSTICS for monitoring.

The foundation: clean master data
The agent is only as good as the data it works with. In practice three points are decisive:
Customer master data: every customer who orders by email must be stored in Business Central with a correct email address. Without this mapping the agent cannot identify the sender.
Item master data: unambiguous item descriptions and numbers make matching easier. If customers use internal designations that differ from the BC item names, the error rate increases.
Pricing: customer-specific prices, discount groups and payment terms must be maintained so the agent creates drafts with the correct conditions.
Our tip: before activating the agent, invest half a day in a master data check. Verify email addresses of your top 20 customers, clean up item descriptions and test with five real order emails in the sandbox.
When is the Sales Order Agent worth it — and when isn't it?
The agent is well suited for standard orders with clear items and quantities — typical in B2B trade and the supplier industry. From about 20 orders per day via a central mailbox and with recurring customers with fixed product ranges, the benefit is most apparent.
It is less suited for complex quote requests with volume pricing, negotiated discounts or customer-specific configurations. It also has limited effectiveness with new customers who don't yet have master data.
